Job Description

  • Maintain and manage all project documents including drawings, reports, correspondence, and approvals
  • Establish and maintain proper document control system (hard copy + digital)
  • Ensure all incoming and outgoing documents are logged, tracked, and properly filed
  • Maintain document register with version control and revision tracking
  • Coordinate with all departments for collection and distribution of documents
  • Prepare and manage transmittals, letters, and official correspondence records
  • Create and maintain structured data systems using Google Sheets (should be expert in using Gsheets) for document tracking and reporting
  • Develop hyperlink-based document indexes (letters, drawings, submissions) linked with PDF files for quick access
  • Prepare organized correspondence registers with searchable and linked records
  • Handle large datasets efficiently using advanced spreadsheet tools for sorting, tracking, and reporting
  • Maintain digital document repository with proper folder structure and access control
  • Ensure quick retrieval of documents for audits, reviews, and reporting
  • Support QS & Planning team in documentation related to billing, reports, and submissions
  • Track submission status (submitted / approved / pending) and follow up with concerned teams
  • Ensure proper backup of all project data and documents
  • Preference will be given to candidates capable of developing and managing structured document systems similar to a centralized data lake for efficient storage, retrieval, and linkage of project records
